Get the most from this Training website

This website is the main way all employees can engage with self-directed or team training for the various activities available to them in the Employee Portal (Unit4's cloud-based ERP housing our HR/Payroll and Finance systems).

Use the menu to the right or Quick Links on the Aurora landing page to find your topic with many short videos, FAQs, PDFs and detailed explanations with screen shots for the various activities available via the Employee Portal. The website is updated regularly as new functionality is rolled out so this site is your go-to location for the most current information. There is also a Self-Assessments page with quizzes, crosswords and other learning tools to assist you and your team to learn the new processes.

Onboarding

  1. See the Glossary of terms related to the Employee Portal to get your bearings.
  2. The Aurora landing page has a video overview, Quick Links to common items, training tips and News posts at the bottom of the page.
  3. Under “Employee Training” on the menu is an “Orientation and Navigation” page to get started. Read through each section and watch the short videos at the bottom of the page. Then try the Basic Skills Checklist and Quiz before embarking on the next steps (answers keys on Self-Assessments).
  4. HR and Payroll provides answers to common employee questions and will assist with navigating the main “Your employment” activities in the Employee Portal.
  5. Absence Requests explains how to request an Absence and answers related questions for employees and approvers or reviewers.
  6. Employee Expense and Travel will assist with filling out these claim forms if required.
  7. Finance provides a general overview of the recent changes (if you have been at VIU for some time), has transition tools for migrating our processes to the new system and it provides an overview of our finance structure and processes.
  8. Sub-menu items under Finance (Procurement for purchases, Accounts Payable for payments to suppliers for goods/services, and Accounts Receivable for customers paying VIU) provide specific instructions for those particular processes. These pages are updated as more functionality is rolled out.
  9. FIS Bulletins covers other miscellaneous finance transactions that are not currently on their own page.
  10. Timesheets will be updated as Timesheets are rolled out through 2021-22.
  11. Self-Assessments offers learning tools to assist with self-directed or team training.

Tech Champions

Your first step in getting questions answered should be your colleagues. Most of the Admin, Program and Finance Assistants will have some experience with the Employee Portal and hopefully they can assist you. These folks may also be either your area Time Entry Designate (TED) for entering your sick time or Appointment creator. If they can't help, seek out a Tech Champion from the website list. They can point you to the appropriate training website page. Our amazing Tech Champs are familiar with the Employee Portal in general, though they too are learning. Tech Champs in bold in the list have more familiarity with the overall Finance items though they may not be able to answer area specific finance queries.
