What you need to know
The following information will support you with onboarding any new FIS Reports users, including non-support staff (Deans, Directors, Managers, etc.).
Financial Information System (FIS) reports access
If you have a new employee in an existing position (as at Jul 1, 2021) the appropriate access should automatically be granted as soon as the employee is Active in the new position. If the position requires new access we need proper approvals to assign access. There are currently 4 Levels for FIS report viewing:
- Division access: view all financial transactions in all Work Orders in one’s own Division including payroll transactions (minus employee names)
- Restricted Division access: view all financial transactions in all Work Orders in one’s own Division including payroll transactions PLUS visibility of employee names (helpful for some budgeting activities and reallocation of payroll entries to Work Orders)
- Expanded access: view all financial transactions in all Work Orders at VIU including payroll transactions (minus employee names)
- Restricted Expanded access: view all financial transactions in all Work Orders at VIU including payroll transactions PLUS visibility of employee names
Access for Level 3 and Level 4 also need approval by the Finance office.
Approval by the Budget owner is to be sent to GeneralAccounting@viu.ca for whomever needs access and for which position. A ticket will then get created to set-up appropriate access.
For All New FIS Reports users

Training Support for All Users
All users can go to the top of Financial Reports training for information about upcoming trainings. These sessions are interactive and users are expected to participate and work live with their own reports so they must have access to attend! There are archived recordings on the training page as well as short training videos and cheat sheets. Working with the FIS reports has a bit of a learning curve, so attending as many sessions as possible and watching videos over and over is recommended. This is not something learned by watching once and users are well served by practice!
