Apr 1, 2022 new process for Goods Receipts

Now you just approve a proposed Goods Receipt!

Effective Apr 1 you no longer need to generate a regular Goods Receipt. Instead, you will receive a task in Task Management to view and generate/approve a proposed Goods Receipt once the invoice has been registered in the system by AP. This should make the process smoother and simpler!

Continue sending all invoices to Accounts Payable immediately to facilitate a smooth process.

Regular Goods Receipt View for Enquiries

Goods Receipt Activity Screen:

Change: The user is not able to generate or modify a Goods Receipt so the “Save” button is greyed out (inactive) in the bottom left hand corner.
No Change: Users can still see valuable data such as:

  1. Order Info Report (click on PO # hyperlink)
  2. Details on what has been received on their order
  3. Access to view the PO

In Task Management:

  • Users continue to receive a workflow task in Task Management in the “Goods Receipt Review” step. See PROC 21: How do I generate a Goods Receipt in Task Management/ Workflow?
  • Users review the proposed amount to receive as well as the invoice that is attached. If user has received the goods or services, they simply click the blue “Goods/Services Received” button as before.

  • If user instead presses the “Goods Receipt” button at the bottom of the screen, they will see the same information as they would in the regular Goods Receipt screen mentioned above. They just cannot modify or hit Save.
  • User may still Reject proposed Goods Receipt here if needed.
  • User may Park the proposed Goods Receipt if they have not received it yet (invoice came prior to goods/service) or have only received part of it.
      • The user must enter a comment if they choose to Park the proposed Goods Receipt.
      • Parked Goods Receipts will still generate regular notifications.
