Absence request tips & reminders

Ensure your request for absence goes smoothly by following these Dos and Don'ts

Some tips and reminders about the Absence module:

 Do Request in the absence module:

  • Vacation for all employees, except for VIUFA Professors and LTC Instructors
  • Special Leaves (Jury Duty, Family Illness, Bereavement, Moving, etc. as per collective agreements)

Do Not Request in the absence module:

  • Sick Leave cannot be reported in the absence module. Report all Sick Leave to your Time Entry Designate (TED)
  • Leave Without Pay (LWOP), email your Manager who will forward approval to HR
  • Public duty leave, email your Manager who will forward approval to HR
  • Union Leave (VIUFA), email your Manager who will forward approval to HR
  • Union Leave (CUPE & BCGEU), use the appropriate union form and send to HR once approved

Tips:

  • Balances shown in the absence module consider all hours requested, including requests that are drafted (but not submitted), in progress, rejected, and approved. Use your My Balances Report to see your balances as of the last pay period.
  • Be sure to delete any draft absence requests and rejected absence requests (these will appear under In Progress) if you aren’t going to use them since the hours requested are immediately pulled from your balances that are shown in the absence screen.
  • If your position or work schedule changes, delete all future-dated requests for leave (drafts, in progress, and approved) and submit new requests. This ensures accuracy in your pay and your banked balances.
  • If you submit a request for leave directly to Payroll via email, the absence will appear in the absence module under Approved once the request is processed by Payroll.
